From first conversation to Letter of Acceptance.

The documents, the interview, the fees, and the timing that take your family from a first inquiry to a final Letter of Acceptance, written so families abroad know what comes next at each step.

The Process

One person guides you through it.

The international application is structured around five stages, but the family experience is simpler than the list makes it sound: one named member of our admissions team stays with you from the first email through the Letter of Acceptance and beyond, scheduling interviews around your time zone and answering study-permit questions the same week.

We accept applications year-round, but study-permit processing times mean most families work backwards from their entry term, submitting documents a few months ahead. The forms each stage needs are listed in Requirements.

  1. Typically 1 business day

    Initial inquiry

    Reach out by email or contact form. A member of the international admissions team will respond personally with a short tuition estimate, a download link to the application package (online form and PDF), and a copy of our refund policy. Bring any first questions about programs, scheduling, or your child’s academic history; we’ll work through them before you submit.
  2. 1–2 weeks to gather

    Submit required documents

    Send us the completed application form along with the supporting documents: a copy of the student’s passport or birth certificate, certified translated school report cards from the last two years (plus any current term), a letter of recommendation, the signed Student and Parent Agreement, and proof of homestay arrangements once they’re in place.
  3. 3–7 business days to review

    Application and fee

    Submit the application and pay the C$400 non-refundable international application fee. Wire transfers carry an additional C$40 fee. We notify families once documents are complete; selected applicants are then contacted to schedule a phone or video interview with the principal.
  4. About 3 weeks to final LOA

    Acceptance package

    After the interview, families who proceed receive a conditional Letter of Acceptance. Tuition and medical insurance are paid within three weeks; once funds are confirmed, a final Letter of Acceptance is issued. Use the final LOA to apply for a Canadian study permit through the nearest Canadian Embassy or Consulate. Processing times vary from two weeks to four months by country.
  5. Funds due 30 days before classes

    Confirmation and invoicing

    Once the study permit is approved, the family confirms arrival information and finalises the homestay. Tuition and fees are due in full 30 days before the first day of attendance. On arrival, the student visits campus (accompanied by their custodian) for the academic assessment and orientation, and delivers a copy of the study permit to admissions.

Fees and Refund Policy

What it costs to apply.

Application costs are fixed and published. Tuition is quoted separately, per family and in writing, during the inquiry stage, so the number reflects your child’s actual schedule.

If a study permit is denied by Citizenship and Immigration Canada, families may request a refund of tuition paid, less a C$550 administration fee(subject to the Principal’s approval). The original CIC rejection letter and the original Vaughan College Letter of Acceptance are required to process the refund.
